# Tune the AI response prompt

> Edit the instructions Liftify gives the AI when it drafts a review reply, and set different wording for a single location.

When Liftify drafts a reply to a review, it follows a written instruction called the **Response Prompt**. Editing that prompt is how you control tone, length, sign-offs, and anything the AI should always or never say. This article is for whoever owns the voice of your review replies.

Liftify already supplies a default prompt, so AI drafts work before you change anything. Editing it is about making the drafts sound like you.

## Edit the account prompt

1. Click **Reviews** in the left navigation, then **AI Prompts** in the sub-navigation.
2. Find the **Response Prompt** card. The page describes it as "The prompt template sent to the AI when generating review responses."
3. Edit the text in the box.
4. Click **Save Changes**. You will see the confirmation "Review AI settings updated."

This same form is also at **Settings → Company → AI Prompts**, on the **Reviews** tab — it is the same setting either way.

The box always shows the prompt that is in force. Before you have made any changes, that is Liftify's default wording, so you are editing a working starting point rather than a blank page. Clear the box entirely and save to go back to Liftify's default.

### What to put in it

Write the prompt as plain instructions to a person writing replies on your behalf. Useful things to specify:

* How long a reply should be.
* Whether to use the reviewer's first name.
* Whether to invite an unhappy reviewer to call, and which number.
* Words and phrases you never want used.
* How to handle a question asked in a review.

You do not need to restate the review itself. Liftify already hands the AI the review's rating, date, text, and reviewer name, along with your company name, the location name, phone number, and address, before your prompt is applied.

## Merge tags

If you want a specific detail written into the instruction itself, you can use a merge tag — a placeholder Liftify swaps for the real value before sending the prompt. The card mentions `{{location_name}}`, `{{review_rating}}`, and `{{review_comment}}` as examples.

To add one, put the cursor where you want it and click the brackets button at the bottom right of the box (its tooltip is **Insert merge tag**). The menu is headed **Insert Merge Tag**, has a **Search merge tags...** box, and groups the tags by where they come from — **Account**, **Location**, **Review**, **Customer**. Click a tag to drop it in at the cursor.

Review tags include the rating, the review comment, the review date, the reviewer's name, the source it came from, and your existing reply. Location and account tags cover names, addresses, and phone numbers.

  A merge tag only fills in if Liftify has that piece of information. A tag for something the review has no value for renders as nothing at all, which can leave a sentence in your prompt reading strangely. Keep tags to details you know are filled in for every location.

## Set a different prompt for one location

A location can override the account prompt — useful when one branch has a different voice, a different phone number to point people to, or a different service mix.

1. Click **Locations** in the left navigation and click **Edit** on the location's card (or open the location and click **Edit location**).
2. Open the **AI Review Responses** tab.
3. Find the **Response prompt** card — "Guidance the AI uses when drafting responses for this location."
4. Type the wording for this location. The same **Insert merge tag** button is available at the bottom right of the box.
5. Click **Save Changes**. You will see "Location updated successfully."

The badge on the card tells you which prompt is being used: **Inheriting from account template** while the box is empty, and **Location override** once you have saved something here. As the card says, "Clear this field to revert to the account prompt."

When a location has its own prompt, that prompt is used for every review at that location and the account prompt is ignored there. Locations without one keep following the account.

## Where the prompt is used

The prompt applies to every AI-drafted review reply for the account or location — the drafts that appear on review cards, drafts you request yourself from the reply box, and any replies that post automatically. Change the prompt and the next draft follows the new wording; drafts already sitting on reviews were written under the old one, so regenerate them if you want the new voice.

The prompt does not affect replies you write by hand, and it is separate from the Inbox prompt on the **AI Inbox** tab, which governs message replies rather than review replies.

## Troubleshooting

**The prompt box is greyed out, or I can't see AI Prompts.**
Editing these settings needs the **Reviews: Edit AI Response Settings** permission. Without it, **AI Prompts** does not appear under **Reviews** and the fields on a location's **AI Review Responses** tab are read-only. Ask whoever manages your Liftify roles.

**I saved a change but the drafts read the same.**
Drafts already attached to a review were written before your change. Ask for a fresh one — on a review card, **Regenerate** on the suggestion, or the AI reply button in the reply box.

**One location ignores my account prompt.**
That location has its own **Response prompt**. Open the location's **AI Review Responses** tab: the badge reads **Location override**. Clear the box and save to put it back on the account prompt.

**My prompt asked for something and the draft did it differently.**
The prompt is guidance, not a rule the system enforces — the AI weighs everything in it at once. Short, direct, specific instructions ("Never use the word 'unfortunately'", "Keep replies under 40 words") are followed more reliably than long paragraphs. Always read a draft before it goes out.
