When the same person arrives from two of your connected systems — or somebody was added by hand and then synced in again — you end up with two employee records for one person. Their jobs, and the reviews credited to them, get split across the two. Merging puts them back together.

Open the Employees page

  1. In the left sidebar, click the circle with your initials, then User Settings.
  2. Under Company, click Employees.
The page lists every employee you can see, with a filter bar and a count. You need a role that includes View employees; merging additionally needs Edit employee details and the Merge duplicate employee records into one permission.

Spot the duplicates

Rows and detail pages carry badges that tell you something needs a look: Nothing is flagged for the ordinary case — one identity, a unique name, nothing merged. Click a badge to jump straight to the card on the employee’s page that carries the matching action.

Merge one record into another

Decide first which record you are keeping. Everything moves into the record whose page you are on, and the other one is hidden.
  1. Open the employee you want to keep.
  2. Find the Possible duplicates card in the sidebar. It lists the other active employees with the same name, each with their title and email, and explains itself: “Other active employees with the same name. If one is the same person, merge it into this record — its identities and job assignments move here and it is hidden, ready to restore from the Identities card. Anything this record already has is dropped and a restore will not bring it back.”
  3. Click Merge into this employee on the right row.
  4. Read the confirmation. It names both records and their ID numbers, so check you have them the right way round before you accept.
Liftify confirms with something like “Merged Dana Reyes into this employee. 4 job assignments moved.” If the two records don’t share a name, use Merge another employee at the bottom of the same card: search “Search employees by name, email or title”, pick the record, and click Merge into this employee. The outcome is identical.
A merge is not a two-way blend. Identities, job assignments and custom fields move from the merged record to the one you kept — but anything the kept record already had wins, and the loser’s version is dropped. Restoring later does not bring those dropped items back. If the record you are about to fold in has better details, correct the keeper first, then merge.
If something else is holding one of the records, the merge is refused and nothing changes: “Could not merge: a conflicting record blocked the merge. Nothing was changed — please review both records and try again.”

See what a record is made of

The Identities card in the sidebar of an employee’s page shows everything that record now represents:
  • Merged employees — each record folded in, its own source-system IDs, and when and by whom it was merged.
  • This record — the employee’s own source-system identities, each with the system’s name, the ID it uses (with a copy control), and the date it was added. An employee added by hand shows Manual record.

Undo a merge

Restoring needs the Restore a merged employee record permission.
  • From the keeper’s Identities card, click Restore next to the merged record.
  • Or open the merged record directly. Its page carries a banner — “This employee was merged into [name]. It is hidden from listings and its history now lives there.” — with Restore beside it.
The confirmation spells out the limit: identities, job assignments and custom fields move back, “except anything dropped during the merge because [the keeper] already had the same job, attribution or custom field, which is not recovered.” You’ll get “Restored Dana Reyes as a separate employee.” Sometimes a line follows it — “2 records stayed behind because the employee they were merged into no longer holds them” — meaning something moved on again after the merge and could not be handed back. Two restores that can’t happen:
  • “Could not restore: this employee is not merged” — the record was never merged, or someone already restored it.
  • “Could not restore: the record of this merge is no longer available, so it cannot be undone. Please contact support.”

Export the list

Export CSV at the top of the Employees page exports the list as you have filtered it. An Exporting to CSV window tracks the job and finishes on Your CSV is Ready with a Download button. If the export hits its row limit the window says so — narrow the filters and run it again. With nothing matching you get “No employees match the selected filters” rather than a file. The button only appears if your role includes Export employees.

Troubleshooting

A merged employee vanished from the list. That’s the point — a merged record is hidden from listings, and its history lives on the record you kept. Open the keeper and look at its Identities card to find it. The Possible duplicates card says “No other active employee has this name.” Nothing shares the name, which is usually the right answer. If you know the duplicate is there under a different spelling, use Merge another employee and search for it. I can see the duplicates but there’s no Merge button. The card reads “Other active employees with the same name. Ask an account admin to merge them if they are the same person.” — you can see the duplicates but not act on them. Ask whoever manages your Liftify roles for the merge permission. Reviews are still credited to the old record. Credit follows the merge, so check the merge actually succeeded — the keeper’s Identities card should list the old record under Merged employees. If a review was credited by hand on the review’s own match screen, re-check it there.
