If you start every morning by filtering the Inbox the same way — open conversations for one location, texts only, assigned to one person — save that combination as a view. It becomes its own entry in the Inbox sidebar with a count next to it, so you get there in one click instead of five.

Step 1: Filter the Inbox the way you want it

  1. Click Inbox in the left navigation.
  2. Start from one of the built-in entries in the sidebar: All Messages, Assigned to me, Email, or SMS.
  3. Narrow it with the filter bar across the top:
    • Location, Account Owner and Campaign — pick one or more; each starts on an “All …” option
    • StatusOpen, Closed or All
    • Custom — build a condition on your own contact fields with Add Filter, then Apply
    • the search button, which searches by “Search by name, phone, email…”
The conversation list updates as you go. What you see on screen right now is exactly what gets saved.

Step 2: Save it

  1. Click Save View in the filter bar.
  2. In the Save View window, type a View Name. Give it a name your team will recognise — “Austin — open texts” beats “My filter 2”.
  3. Choose who else gets it under Sharing:
    • Private - Only visible to me — nobody else sees it
    • Share with specific users — pick names under Select Users
    • Share with specific locations — pick locations under Select Locations, and anyone with access to those locations gets the view
  4. Click Save.
If the sharing lists come up saying “No other users available.” or “No locations available.”, there is nobody (or no location) on the account to share with yet. Save it as private for now — you can change the sharing later.

Step 3: Use the view

Your view appears in the sidebar under Inbox, below All Messages, Assigned to me, Email and SMS. Click it to jump straight to that filter combination. Each entry shows a count of the conversations in it. Counts are calculated when the page loads, so if you have had the Inbox open for a while, reload the page to see current numbers. Views shared with you by a teammate show up in the same list.

Step 4: Change or remove a view

There are two different edits, and they live in two different places. To save a new filter combination into an existing view, open the view, adjust the filters, then click Update View in the filter bar. This overwrites the view’s filters with what is on screen. To rename a view or change who it is shared with, hover over the view in the sidebar and click the button that appears on the right, then choose Edit. This changes the name and sharing only — the filters stay as they were. To remove a view, use the same menu and choose Delete, then confirm in the Delete View window.
Update View and the menu only appear on views you created. A view a teammate shared with you can be used but not changed — ask the person who made it.

Troubleshooting

“already exists. Please choose a different name.” You already have a view with that name in the Inbox. Pick something else, or edit the existing one instead of making a second copy. A teammate can’t see the view I shared. Two things to check. If you shared with specific people, confirm they were ticked under Select Users — open the menu and choose Edit to look. If you shared with locations, they only get the view if they have access to one of those locations. The count next to a view looks wrong. Counts are worked out when the page loads. Reload the Inbox and check again. No menu appears when I hover a view. That view belongs to someone else. Only its owner can rename, re-share or delete it.
